MoodleCloud vs Moodle Workplace

Explore the differences between MoodleCloud and Moodle Workplace to help you decide which is the right Moodle LMS for your organisation.

MoodleCloud or Moodle Workplace – which should I choose?

Whether you choose MoodleCloud or Moodle Workplace as your learning management system will depend on your organisation’s learning needs and wider business objectives.

Both MoodleCloud and Moodle Workplace are popular and incredibly effective platforms within the Moodle online learning ecosystem. But they are designed to meet different organisational priorities.

MoodleCloud is essentially the SaaS Moodle version. It’s a ready-to-go, cloud-hosted learning platform.

Moodle Workplace is a more comprehensive enterprise LMS, equipped with the additional functionality needed to deliver organisational learning at scale.

The MoodleCloud vs Moodle Workplace decision will largely depend on your organisation’s size and complexity, the business systems it needs to integrate with the LMS, its compliance requirements and the amount of flexibility needed.

Let’s take a closer look at how MoodleCloud and Moodle Workplace compare.

MoodleCloud vs Moodle Workplace: at a glance

The key difference between MoodleCloud and Moodle Workplace is that MoodleCloud is a ready-to-use, managed Moodle LMS service, while Moodle Workplace is an enterprise learning platform featuring additional tools for organisational structure, LMS automation, compliance and multi-tenancy.

What is MoodleCloud?

MoodleCloud is a fully-managed, ready-to-use SaaS learning management system. With quick, easy and inexpensive setup, it is designed for small businesses and other organisations taking their initial steps in online learning.

The main benefits of MoodleCloud are its speed and simplicity, giving organisations access to core Moodle functionality without the infrastructure and technical overhead of managing a larger LMS. As a fully managed, cloud-hosted service, MoodleCloud also removes the need to manage hosting infrastructure, maintenance and associated technical expertise internally.

MoodleCloud pricing involves tiered annual subscription plans. This is based on user numbers and data storage space. A starter subscription offers 50 users and 1GB of data storage, with standard plans up to 750 users and 50GB of data storage. For larger organisations, or those expecting to create large amounts of data, MoodleCloud pricing tiers could become restrictive.

Self-service support is available via the MoodleCloud knowledge base, with priority assistance available via the MoodleCloud Portal when an LMS is down.

A possible limitation for some organisations is MoodleCloud’s lack of plugin integrations. To keep the MoodleCloud service simple, stable and consistent, Moodle restricts access to third-party plugins and integrations.

With all of that considered, MoodleCloud is a sensible online learning starting point for organisations with relatively modest user numbers and straightforward requirements.

What is Moodle Workplace?

Moodle Workplace is a powerful enterprise learning management system. With a wide range of extended functionality to deliver, manage and track a substantial learning and development programme, it is suited to large or growing organisations.

Moodle Workplace features are designed to help organisations manage learning at scale, with capabilities including multi-tenancy, automation, advanced compliance, delegated administration, personalised learning and sophisticated reporting.

It contains all the MoodleCloud features, plus those of a standard Moodle LMS implementation, but also offers additional functionality suited to streamlining organisational learning for enterprise-level employers. This includes time and resource-saving automation to cut the administrative burden for L&D teams.

Moodle Workplace is designed to mirror even complex organisational structures, ensuring the right people have access to the right parts of the LMS at the right time. A prime example is the option of a Moodle multi-tenancy infrastructure, which means different divisions, departments or subsidiaries can each have their own learning environments within a single installation. This gives centralised governance and control, while creating customisation and delegating admin responsibility at a tenant level. This has the advantages of easing the admin workload for L&D teams and giving individual teams the opportunity to shape user experiences that work for their learners.

For organisations needing to meet complex regulatory requirements using Moodle, compliance training is far more advanced with Moodle Workplace. By automating learning pathways, certification and recertification, organisations can save huge amounts of admin time spent on compliance while also achieving better outcomes.

Similarly, creation and scheduling of Moodle reports can be automated on Workplace. This makes it easier to share key information with stakeholders and to track data in the case of an audit without increasing administrative workload.

A combination of multi-tenancy infrastructure, automated learning pathways and greater customisation means Workplace is well-equipped to deliver personalised learning experiences to users.

Together, these features make Moodle Workplace the best version of Moodle for business L&D teams overseeing an extensive organisational learning programme, or preparing to scale their L&D programme dramatically.

What are the key differences between MoodleCloud and Moodle Workplace?

The crux of this Moodle LMS comparison is the areas in which MoodleCloud is different from Moodle Workplace. These include:

Customisation and flexibility

MoodleCloud offers a standardised SaaS environment. This is simple and hassle-free in the sense that there are few technical considerations and that everything is managed by Moodle. But it only offers limited customisation of the look and feel of the LMS.

By contrast, Moodle Workplace offers the flexibility to configure and customise a Moodle LMS to suit your organisation’s unique requirements. You can shape and scale a Moodle Workplace LMS to be exactly what you need from an LMS.

Plugins and integrations

MoodleCloud does not support third-party plugins or integrations like a more customisable Moodle deployment. To achieve the simplicity and stability we’ve already discussed, it operates as a standalone SaaS LMS.

That’s not the case with Moodle Workplace, which integrates with an array of third-party plugins and systems. This has several key advantages for enterprise organisations. For example, integrating with CRM, HRIS and HR systems cuts duplication, saves admin time and reduces data entry errors.

It’s a similar situation with reporting and analytics. Integrating your LMS with Power BI or other business intelligence and data platforms means your organisation can instantly work with L&D data in a familiar environment.

Integrating with Microsoft 365 and Teams makes it easier to introduce learning within each learner’s regular workflow. This makes it easier to communicate and drive engagement with your LMS. Similarly, adding single sign-on (SSO) to your LMS makes it easier for learners to engage without having another password to remember.

Moodle Workplace’s integrations with off-the-shelf content libraries, such as Core, give the option to add a more diverse range of learning content without the expense of creating your own course from scratch.

Multi-tenancy

Since it is designed for relatively small organisations and straightforward L&D requirements, MoodleCloud doesn’t offer a multi-tenancy infrastructure.

With Moodle Workplace, your organisation can create unique learning environments for different audiences – all delivered from a single Moodle LMS installation. This could include separate learning spaces for different:

  • Departments
  • Divisions
  • Subsidiaries
  • Regions
  • Brands
  • Customers
Compliance and certification

MoodleCloud is equipped with the basic Moodle compliance training functionality. This offers everything a small organisation needs from a compliance training LMS.

For organisations delivering mandatory, recurring or regulated compliance training – and all the associated reporting, certifications and recertifications at scale – the automation and customisation offered by Moodle Workplace is essential.

Automation and administration

For smaller teams, assigning learning manually on a learning platform is manageable. This makes MoodleCloud a viable option.

But for more complex organisations, this would result in a laborious, inefficient and potentially overwhelming admin workload. In these cases, Moodle Workplace’s automated enrolments, learning pathways, administrative workflows and dynamic rules can save significant time and resources.

Reporting and analytics

MoodleCloud collects basic course completion data. For some organisations, confirming that someone has completed a course will be sufficient for tracking compliance and wider training goals.

But for organisations that need to share a variety of reports to multiple stakeholders, are likely to face audits or regulatory scrutiny, and need to demonstrate ROI from a Moodle LMS, Workplace’s custom report builder is essential.

Support and implementation

One of the key advantages of MoodleCloud is that it is ready to go immediately with very little implementation or setup work needed. Moodle Workplace needs more precise configuration and implementation, always overseen by an expert Moodle partner.

This is an important consideration because choosing the right Moodle LMS – and choosing an LMS more broadly – isn’t just about the software and its functionality. Getting the best results from an LMS relies on know-how as much as technology.

Having expert support when deciding on the key requirements for your LMS, implementing it, migrating an existing LMS and hosting a new platform can make a huge difference. It’s a similar situation when customising your platform, adding integrations and optimising your LMS.

If you want ongoing support to optimise, improve and customise a complex LMS, Moodle Workplace is the better option for you. MoodleCloud offers a detailed knowledge base and a ticketed support system, but not the sort of continuous dialogue and collaboration you could have with a Moodle partner.

Which is right for your organisation: MoodleCloud or Moodle Workplace?

Hopefully, you’ve started to build a clearer picture of whether MoodleCloud or Moodle Workplace is the right LMS for your organisation. Throughout this article, we’ve seen the dividing lines in the MoodleCloud vs Moodle Workplace decision-making process. Let’s recap them at this stage.

MoodleCloud is likely to be the right LMS for your organisation’s needs if it has relatively straightforward L&D requirements, modest user numbers and limited need for plugins and integrations. It is also a great option for quickly launching an LMS.

Moodle Workplace is a better LMS option for larger, enterprise-level and growing organisations, especially if they have complex structures and need a multi-tenancy LMS to support different audiences, regions or languages.

Workplace is also a sensible choice if the organisation needs advanced automation of its L&D programme, integrations with other business systems, in-depth reporting and analytics, and a sophisticated approach to compliance training.

What if you’ve already started with MoodleCloud?

You might be reading this article having already started using MoodleCloud, but you’re now considering whether Moodle Workplace is a better fit for your requirements. If so, you’re certainly not alone in that situation.

MoodleCloud is a useful starting point for an organisation to explore online learning in general and Moodle specifically. The fact it’s easy to access and ready to use makes it a great first step.

Once an organisation starts to find its way around the platform or as its needs change over time, it is perfectly understandable if it emerges that it requires greater flexibility, technical expertise or implementation support. Over the years, we’ve helped many organisations to migrate between different Moodle platforms to create the LMS infrastructure that is right for their organisation.

Common signs your organisation may have outgrown MoodleCloud include:

  • ✳️ You’ve not sure how to configure Moodle to meet your requirements.
  • ✳️ You need integrations with other business systems that aren’t straightforward to implement.
  • ✳️ You want to significantly customise the learner experience, branding or workflows.
  • ✳️ You need more sophisticated reporting than MoodleCloud’s standard reports provide.
  • ✳️ Your compliance requirements are growing more complex or recurring.
  • ✳️ You need to manage learning for multiple audiences, divisions or regions.
  • ✳️ You’re spending more time than expected trying to make the platform work for you.
  • ✳️ You’re not sure how to migrate or what your options even are.

If any of those sound familiar, the cost-effectiveness of MoodleCloud might be undermined by the time and resources you’re now investing in trying to bend the platform to meet requirements it wasn’t designed to achieve.

You don’t necessarily need to abandon Moodle. You may simply need the right expertise to take your Moodle project to the next stage.

Is MoodleCloud cheaper than Moodle Workplace?

MoodleCloud is available for an affordable annual subscription, which is generally lower than a Moodle Workplace licence. But that doesn’t necessarily mean that MoodleCloud is cheaper than Moodle Workplace.

Moodle Workplace pricing is typically more complex than a straightforward MoodleCloud subscription because the overall cost of an LMS goes beyond monthly fees. There are a variety of other factors to consider, such as:

  • ✳️ Hosting fees
  • ✳️ Implementations and setup costs
  • ✳️ LMS migration expenses
  • ✳️ Bespoke development
  • ✳️ Support costs

Any outlay on those items needs to be balanced against the savings made on administrative costs. For example, integrations with other business systems, automated workflows and customised reports might cut more in costs than the additional expenditure needed to achieve those features.

Similarly, investing in a platform that can scale with your organisation might ultimately be cheaper than a future LMS migration.

Can you migrate from MoodleCloud to Moodle Workplace?

Yes, you can migrate from MoodleCloud to Moodle Workplace. As long-standing Moodle Partners, we have considerable experience of helping customers move between different Moodle platforms.

We can help you to bring all of the key aspects of an existing MoodleCloud platform to a new Workplace site. This includes:

  • ✳️ Courses, including course categories, content, files, and activities
  • ✳️ User data
  • ✳️ Enrolment information
  • ✳️ Grades and completion data, depending on the backup/import configuration
  • ✳️ Existing Moodle configurations

As part of the migration process, we would also explore new plugins and integrations, future data requirements and scalable architecture to maximise the lifespan of the new LMS.

Questions to ask before choosing MoodleCloud or Workplace

We’ve discussed the main differences between MoodleCloud and Moodle Workplace in general terms. This MoodleCloud vs Workplace decision checklist will guide you towards the right platform for your needs.

How many active LMS users do we expect?

While user numbers alone don’t necessarily determine the choice between the two platforms, MoodleCloud is generally better suited to lower user numbers that are less complex to manage.

How quickly will user numbers grow?

If you’re expecting the organisation and your LMS to scale rapidly in the coming years, a platform that can scale with you – like Moodle Workplace – is likely to be right for you.

What will the LMS need to do in three to five years?

If you have basic L&D requirements that are unlikely to change in the foreseeable future, MoodleCloud is likely to be the best option. If your organisation is growing or its L&D needs are evolving, Moodle Workplace provides a more lasting solution.

Why choose Synergy Learning as your Moodle partner?

At Synergy Learning, we’ve been helping customers to develop Moodle LMS sites to meet their organisational goals since 2005. We were among the first Moodle partners entrusted with early access to Moodle Workplace in 2018. In that time, we’ve helped organisations to move from dipping their toes in online learning to delivering measurable learning at scale with an LMS that works for them.

Whatever stage you’re currently at, our Moodle experts will help you to plot out where you want to be and put the technology in place to help you achieve it.

This process can be gradual or it could be quite sudden. We built a Moodle Workplace platform in just six days to meet the NHS’s rapidly changing training needs.

Equally, we’ve partnered with German non-profit Goethe-Institut since 2013, adapting and reconfiguring its Moodle LMS over the years as its platform grew from 14,000 to two million visits per year.

In both these cases, and many other Moodle LMS projects we’ve worked on, our role is more than that of a technical partner or Moodle hosting provider. We support customers throughout every stage of their LMS requirements.

Our Moodle consultancy typically starts by building our understanding of each customer’s requirements, and helping them select the best Moodle platform for their requirements. Sometimes that will involve migration from MoodleCloud to Moodle Workplace or another LMS migration.

The next step is to customise and configure the platform to meet the defined requirements. That covers a wide scope of areas, including UX and branding, integrations and plugins, hosting setup and learning content.

We then continue to provide ongoing support and LMS optimisation to ensure the platform continues to meet requirements as they change or learning technology progresses over time.
