With a range of enhancements designed to improve course discovery, personalise multi-tenancy and offer new customisation options, here’s what’s in the latest version of Moodle Workplace.

Find courses faster with learning catalogue improvements

For organisations managing a large portfolio of courses, finding the right training can be a challenge. Moodle Workplace 4.5 refines the learning catalogue, making it easier than ever for learners to discover and enrol in the courses they need.

  • Course highlighting – Want to promote a particular course you think will be useful? With Moodle Workplace 4.5, you can now highlight your high-priority courses so they always appear at the top of the catalogue, making them immediately visible to learners searching for their next course.
  • Featured courses section – Spotlight your essential courses such as compliance training, leadership programmes or onboarding courses so they’re never missed.
  • Automatic price synchronisation – If you offer paid training, course prices now sync automatically to save on manual effort and ensure what’s shown is always accurate.
  • Improved filtering and search – Advanced filtering options, including range filters and checkbox selections, help learners quickly find the courses most relevant to their needs. You can also hide or customise labels for catalogue display fields and filters to better fit your organisation’s course discovery needs.

Personalised multi-tenancy enhancements for a tailored experience

For organisations with multiple departments, branches or clients using Moodle Workplace, multi-tenancy is a game-changer. The good news is that Moodle Workplace 4.5 takes this a step further with custom tenant domains and user tour personalisation.

  • Custom tenant domains – Each tenant (department or organisation) can now have its own domain to create a branded, seamless user experience.
  • User tour tenant selector – You can now create customised user onboarding experiences for different tenants. This gives them a personalised introduction to the platform, increasing engagement.

More options for control and customisation

To provide a more personalised and engaging learning experience, customisation is key.  With Moodle Workplace 4.5, you can expect brand-new options that give you more flexibility in branding, managing roles and structuring courses.

  • Custom login pages for each tenant – You can now design distinct login experiences for different user groups, so each tenant always has a unique and cohesive brand experience. You can also choose between the learning catalogue or custom pages as the default start page.
  • Unlist your custom pages – You might not always want certain custom pages to pop up in the main navigation. You now have the option to unlist these pages, so they’re linked to throughout the site instead – just as you would with a website, for cleaner navigation.
  • Share your custom pages in a click – Need to link someone to a custom page instantly? You can now copy the URL from the list of custom pages in just one click.

People management, simplified

User management is critical if you want your training programmes to run smoothly in your LMS, but it doesn’t need to be complicated. With Moodle Workplace 4.5, you can say hello to a range of enhancements that streamline user allocation, creation and automation.

  • Direct user allocation to programs and certifications – Spending too much time on admin, enrolling your learners onto courses? You can now enrol them directly from the Team Overview block to save you time.
  • Create users within the ‘People’ tab – New users can now be created directly within the Organisation Structure using the ‘People’ tab, eliminating any extra steps.
  • Create automations for managers – A new ‘User is Manager’ dynamic rule allows admins to define rules and automate training actions specifically for managers.
  • More accurate dynamic rules for positions and departments – Dynamic rules now reflect only the conditions and actions for positions and departments relevant to your organisation. This reduces the chance of errors when applying rules.

Greater flexibility for large-scale training operations

Managing training for a large organisation with thousands of users? You’ll need enhanced organisation and navigation to streamline your operations and keep things running smoothly. Moodle Workplace 4.5 comes with the updates you need to help you do just that.

  • Move users between tenants effortlessly – With an improved interface, you can now effortlessly bulk-transfer users across to new tenants in just a few clicks.
  • Tagging for dynamic rules – Admins can now use an all-new tagging system to categorise and organise dynamic rules more efficiently.
  • Enhanced position and department selection – A new search feature and hierarchical path display make it easier to select automations across your organisational structure.

A more intuitive learning experience

Moodle Workplace 4.5 doesn’t just improve things for admins – it also makes learning easier, clearer and more accessible for learners, too.

  • A simpler way to access learning reports – A new visual warning indicator in the user’s profile alerts them to overdue programs and certifications, so they don’t miss a thing.
  • Availability filter for appointment sessions – Learners and instructors can now filter by session availability for better scheduling.

Improved site and compliance management

You now have more control over how courses, certifications and notifications work. This is particularly useful for compliance management in keeping training records accurate and up-to-date.

  • Create courses while editing a program – You can now create new courses without leaving the program editor, giving you a more efficient workflow with fewer navigational steps.
  • Manual certification with date input – When manually certifying employees, you can specify a completion date so historical records remain accurate.
  • New ‘Username’ placeholder for notifications – Personalise your dynamic rules notifications with a username.
  • Support for ‘Textarea’ user profile fields in dynamic rules – Organisations can now apply Textarea fields as dynamic rule conditions, expanding automation capabilities.
  • Workplace plugin categorisation – Moodle Workplace plugins are now clearly labelled in the plugin overview, so you can identify them at a glance.
