5 things to consider when switching LMS provider

For many organisations, a learning management system (LMS) is the central hub for workplace training, compliance and professional development. But as learning needs evolve, the platform or provider that once worked well may no longer deliver the flexibility, support or innovation you need.

If you’re considering moving your LMS to a new provider, it’s natural to have concerns; whether that’s about disruption, data migration or user experience. The good news is that with the right planning and the right partner, switching your LMS provider can be a smooth transition for the better.

Here are five key things to consider when switching your LMS provider.

1. Data migration and platform continuity

One of the main concerns when considering switching LMS provider is the risk of losing all your valuable learning data. Over time, your LMS accumulates a lot of important data, including course content, user records, completion data, certifications, enrolments and reporting. Having to migrate all this data can feel daunting.

This is why a clear and well-structured migration strategy helps. An experienced LMS partner will begin by auditing your existing platform to understand what data needs to be moved and how it’s structured. From there, they’ll map that data to your new environment, run tests and validate everything in a staging environment before anything goes live. This ensures that your courses are behaving as expected, reports remain accurate and users retain their learning history.

If you’re currently using Moodle, Moodle Workplace or Totara, migration with a certified partner like us is straightforward because the underlying platform will remain the same. Rather than rebuilding everything from scratch, we can transfer course structures, users and historical data securely while maintaining platform integrity.

2. Minimising disruption for learners and administrators

Whether your LMS is used for onboarding new staff, completing compliance training or running reports, it’s a business-critical system that you and your learners rely upon. This is why any transition to a new provider needs to be managed carefully so you can minimise downtime and negative impact on day-to-day operations.

A well-planned LMS migration should include several key elements:

  • ✅ A clear, realistic project timeline
  • ✅ Staging environments where the new platform can be tested safely
  • ✅ A structured and coordinated go-live process
  • ✅ Clear communication plans for learners, administrators and stakeholders

Let’s imagine we have an organisation with a busy learning calendar, including scheduled compliance deadlines and ongoing professional development programmes. Rather than switching platforms mid-activity, the transition can be timed to align between training cycles. Meanwhile, administrators can be given early access to a staging environment where they can test courses, run reports and familiarise themselves with any changes.

Learners can also be kept informed with simple and clear communications, letting them know what to expect and where to go for support. If you are simply moving your Moodle or Totara LMS to another partner, the interface will remain familiar enough that learners will find the transition seamless.

3. Ongoing support and consultancy

Reliable hosting and technical support are important, but the real long-term value comes from having a partner who can help you continuously improve how your platform is used.

When evaluating a new LMS provider, it’s worth looking beyond day-to-day support and considering the level of consultancy and strategic guidance available. The most effective LMS partnerships are those where providers actively help organisations get more out of their platform over time, not just keep it ticking over.

For example, at Synergy Learning, our consultants offer:

  • ✳️ Focused insights – The support offered by our consultants is completely driven by your needs so you get the advice you need, when you need it.
  • ✳️ Targeted tech – We’ll suggest areas in which the right technology can be harnessed to help you meet your learning objectives.
  • ✳️ In-depth expertise – We’ve been working with learning technologies since 2005 and our L&D consultants have vast knowledge and experience to support you.
  • ✳️ Compliance improvements – Get tailored advice on how best to meet regulatory compliance and industry standard requirements.
  • ✳️ Increased security – We’ll ensure your platform is secure, reliable and configured to achieve the latest security best practices.

Perhaps you primarily use your LMS for compliance training. Over time, with the right consultancy support, you could expand its use to support onboarding programmes, leadership development or blended learning initiatives as organisational needs evolve.

Good consultants will also show you how to effectively set up reporting and integrations to provide more meaningful insights into learner engagement and performance, so you can continuously improve.

4. The level of technical expertise you need

Today’s learning management systems might be powerful and flexible, but this flexibility can quickly become a challenge if you don’t have the right technical knowledge behind it.

Platforms such as Moodle and Totara aren’t “out of the box” solutions in the traditional sense, but can be tailored extensively to meet very specific organisational needs. However, to make the most of that adaptability, you’ll need to have someone on your side with an understanding of architecture, plugins, performance optimisation and best practice in learning design.

This is where a knowledgeable partner can help you:

  • ✳️ Improve platform performance, ensuring fast load times and reliability even with large user bases.
  • ✳️ Implement and configure new features or plugins that enhance learning, rather than overcomplicate things.
  • ✳️ Optimise the user experience for both learners and administrators, making the platform intuitive and engaging.
  • ✳️ Integrate seamlessly with HR systems, CRMs or other business tools to streamline processes and reduce manual work.
  • ✳️ Maintain strong security, data protection and compliance standards.

Many L&D teams only use their LMS for core functionality and might be missing out on automated learning pathways or advanced reporting features that could significantly reduce admin time and improve learner engagement. With the right team of experts alongside, these features can be implemented in a way that aligns with your existing workflows rather than disrupting them.

5. Opportunities to improve with future plans

Switching your LMS provider is a good opportunity to step back and evaluate how effectively your platform is supporting your organisation.

Over time, your LMS platform will accumulate outdated content, duplicated courses and workarounds that no longer serve the original purpose. Transitioning to a new LMS provider gives you the space you need to review what’s actually needed, what can be retired and what could be improved to support future plans.

For example, you could use this opportunity with a new LMS provider to:

  • ✳️ Clean up legacy content that is no longer relevant or in use.
  • ✳️ Improve course structures to make learning more intuitive and easier to navigate.
  • ✳️ Enhance reporting dashboards to provide clearer, more actionable insights aligned with what you need to measure.
  • ✳️ Introduce new functionality such as automation, personalised learning pathways or improved assessments.
  • ✳️ Refresh the overall learner experience with a more modern, user-friendly interface.

At Synergy Learning, we work with organisations like yours to identify these opportunities early in the migration process to ensure that the new environment is a more effective and engaging learning platform (and not just a replica of the old one).
